HOW TO SEND MULTIPLE EMAILS WITH THE BUSINESS DIRECTORY

This option uses the configuration that you have on Outlook Express. Press the button "Send
Mail" and will appear the window shown below. You can send only plain text and they go to the
Outlook Express Outbox folder.
The most important thing of this option is your ability to send personalized messages. In other
words, send text with the name of the company to which it is being sent. To do this, you must
include in the message text the question mark (?) followed by the field name of the database.
The field names are: COMPANY, ADDRESS, CITY, STATE, ZIP, TELEPHONE, FAX, CONTACT,
POSITION, EMAIL, WWW.
So, if you start your message with the following format, the text will be changed accordingly
with the corresponding data of each field:
?COMPANY
?ADDRESS
?CITY ?STATE ?ZIP
?TELEPHONE ?FAX
?EMAIL
?WWW
This is a good way to maintain a history to which companies you have sent the same
information.
Note that everything is kept in the Sent Items folder of Outlook Express.
If you wish to send the same text to different companies of the list, just select the quantity of
emails to send and it will look for new emails that have not being sent the same subject. The
subject text is the key to avoid repetition of emails to the same company.

There are two ways for sending emails with this directory. In the directory list window, the OE Mail button invokes Outlook Express; the HTML Mail button does it directly without keeping copies of your job. See figure below.

With this option you can send multiple emails in Plain text format or HTML format. You can also send
attachments.
Before starting use of this form, you must have configured your SMTP or email server. This varies
depending on your Internet service provider or your own web site mail server. You need also configure
the others text boxes that are required.
NOTE: If your HTML Mail button is disabled, you must enter the Authorization Code in the configure box.
The example below shows you an example of a properly configured send mail boxes:
The SMTP box may vary according to your own SMTP Server. Some examples:
SMTP FOR CENTENNIAL OF PUERTO RICO: mail.centennialpr.net
SMTP FOR VERIZON DOMINICAN REPUBLIC: mail.verizon.net.do
SMTP FOR TRICOM DOMINICAN REPUBLIC: correo.tricom.net
SMTP FOR COQUI.NET: mail.coqui.net
SMTP FOR AOL.COM: mail.aol.com
SMTP FOR A WEB SITE: mail.mysitename.com
If you have your own Web site with Email service available, consult your provider and ask for the SMTP
configuration for outbound emails. If these examples are not valid, call directly to the support department of
the company that serves you.
Definition of boxes:
Sender Email: You must provide your email so that whoever receives the email may know who sent it
Sender Name: Your name or company name
User Name: The user name of your email server provider. For instance, myusername or
myusername@mysitename.com (Ask your Internet service provider or your web site provider)
To: The recipient's email. Use this box ONLY when you need to send JUST one email. If you need to send
emails to the whole database, click over the "Records in database file" option box. After that, change the
number of Quantity to Send emails to the number of your own criteria.
Subject: Type the subject of your message. Many people opens their mail depending on the title of the
subject.
Below the subject you need to type the Message body text.
This message can be in plain text of in HTML format.
How to send an image in HTML Format
To do this, you must copy an image file, better in .JPG, format in your web site.
Type the following text as your body text. Remember to change the image file name in your
server.

START JOB. Start sending the email or emails. If everything is okey, and no fields data is missing, you are
ready to start seinding.
SAVE YOUR JOB. Save the text you just typed in. Is good to have at leat one copy in case you might need
to send a similar message. Press the SAVE button.
USING YOUR OWN EMAIL'S LIST
If you have an email list composed in notedpad (ASCII format), you can make use of it. In the option box
click over "My Email List". Then add a number in the box "Quantity to send".
